Tevalis Integration

This guide walks you through the Now Book It integration for reservations and gift cards in the Tevalis platform.

What the Integration Does

  • When a booking in Now Book It is marked as Seated, the corresponding table in Tevalis is automatically assigned and opened (including customer details, if available).
  • When a table is created in Tevalis, a walk-in is automatically created in the Now Book It diary.
  • Any pre-payments made through Now Book It are automatically applied to the Tevalis order.
  • When the corresponding Tevalis table is checked out, the booking status in Now Book It updates to Finished.
  • Sales data from Tevalis is automatically sent to Now Book It.
  • Gift card redemptions processed in Tevalis are updated in real time in Now Book It.

Before You Get Started

Make sure your table numbers in Now Book It and Tevalis are identical. This is required for the integration to match bookings correctly. You can check and update these in Now Book It under Settings > Layouts.

Using the Booking in Tevalis

Accessing the Booking

  1. Log into Tevalis.
  2. The table associated with the Now Book It booking will appear as reserved on the table plan.

Seating the Booking

  • Select the reserved table and choose the option to seat or occupy it.
    • This will update the booking status in the Now Book It diary to Seated, and the table will reflect its seated status.
  • Open the table order to begin adding items.

Real-Time Status Updates

As the service progresses, the booking status in Now Book It will update in real time, reflecting key stages such as:

  • Seated
  • Ordered
  • Mains
  • Desserts
  • Finished

Viewing Reservations

  • Tevalis includes a reservations view, allowing you to see all bookings for the current service.
  • Customer and booking details are accessible directly from the reservation.

Completing the Booking

When the customer completes payment in Tevalis:

  • The booking status in Now Book It will automatically update to Finished.
  • Sales data will be sent to Now Book It and attributed to the booking and customer record.

Walk-Ins

Walk-ins created directly in Tevalis will generate a corresponding walk-in entry in the Now Book It diary. Note that sales data will only be captured against a customer record if a customer profile is added at the time the walk-in is created.

Gift Card Redemption

How the Gift Card Integration Works

  • The customer purchases a digital gift card from the venue's website.
  • The gift card Now Book It ID number and balance are stored in Now Book It.
  • When the customer uses a gift card in-store, venue staff enter the gift card number through the Tevalis POS screen.
  • Customers can redeem either a partial or full balance.
  • Customers can split payments between a gift card and another tender (e.g. cash or card).
  • Transaction details are sent in real time and stored in the Now Book It gift card management portal.

Redeeming a Gift Card in Tevalis

  1. Add items to the order and proceed to the payment screen.
  2. Select Now Book It Gift Card as the tender type.
  3. Enter the NBI gift card number.
  4. Enter the amount to redeem (for a partial redemption, enter the specific amount; for a full redemption, the full balance will be applied).
  5. The payment will process and the redemption will be reflected automatically in the NBI admin portal.

For split payments, apply the gift card tender first for the amount being redeemed, then complete the remaining balance with the appropriate payment method.
