Walk-ins created by the POS during events
If you run an Event in Now Book It on a day your venue is normally closed, walk-ins created through your POS may fail. This is expected behaviour, based on how services and schedules work together in Now Book It.
Why walk-ins can fail during an event
Creating an Event does not automatically open a service schedule for that day.
For a walk-in to be created, the service for that day must meet all of the following:
- It's active.
- It's scheduled and open for that day (with online bookings turned off).
- It's not marked as closed or unused.
For example, if your venue:
- Is normally closed on Saturdays.
- Creates an Event on a Saturday.
- Doesn't have an active, open service scheduled for that day.
...then any walk-in created via POS will return a Create Walk-In error.
Key rule: an Event on its own doesn't override a closed schedule. If the service isn't open, walk-ins can't be created — even though an event exists.
How to allow walk-ins during an event
To allow walk-ins on a day your venue is usually closed:
- Make sure the relevant service is active.
- Add an open schedule for that day, and turn off online bookings.
- Confirm the service isn't marked as closed or unused.
Once the service is open, walk-ins created via POS will work as expected.
Walk-in duration defaults to two hours
When a walk-in is created via POS:
- If the POS sends a duration, Now Book It uses that duration.
- If the POS doesn't send a duration, Now Book It defaults to 120 minutes (two hours).
Can the 120-minute default be changed?
No, this default can't be adjusted within Now Book It, as the duration is controlled by the POS. If you need a different duration, edit the end time or duration manually in the Diary after the walk-in is created.
