Ordermate integration

OrderMate's WaiterMate POS connects to Now Book It, so reservations, deposits and table activity sync automatically between the two systems. This guide explains what the integration does and how to keep bookings running smoothly across both platforms.

What the integration does

  • Once a reservation is made in Now Book It, the reservation and guest details are sent to WaiterMate.
  • Deposits taken through Now Book It are applied to the reservation in WaiterMate.
  • If a table's been allocated to a reservation in Now Book It, WaiterMate reserves that table and updates the table icon to show it's booked.
  • When a guest is marked arrived and seated in Now Book It, WaiterMate automatically opens a table with the guest's details and saves them as a customer.
  • Changes made to the table in WaiterMate, total spend, items sold, table status - are sent to Now Book It in real time and saved against the guest's profile.
  • Reallocating a table for a reservation that's already seated in Now Book It shows as a table transfer in WaiterMate.
  • Once a table's paid off in WaiterMate, the booking status automatically updates to Finished in Now Book It.
  • Now Book It online gift vouchers can be redeemed directly in WaiterMate.

Limitations

  • Now Book It is the control station. Status changes, table changes and table joins must always be made in Now Book It, not WaiterMate - actioning these in WaiterMate first can cause the two systems to fall out of sync.
  • Walk-ins aren't synced. Tables opened directly in WaiterMate won't create a walk-in reservation in Now Book It, so it's possible for a genuine booking to be allocated to a table that's already occupied. See Walk-ins below.
  • Gift vouchers only, no other payment types are synced through the integration.

Walk-ins

Tables opened directly in WaiterMate won't create a walk-in reservation in Now Book It. This means tables can still be used normally - for staff meals, regular guests, or guests waiting at the bar for a later booking - without Now Book It needing to know about them.

Note: because Now Book It doesn't receive information about these tables, it's possible for a genuine reservation to be allocated to a table that's already occupied. It's worth checking table availability before allocating a booking.

Deposits

If a customer pays a deposit through Now Book It or your booking widget, it's applied to the account in WaiterMate once the reservation is seated.

  1. The payment automatically uses the Now Book It payment type.
  2. These payments also appear on the Takings This Terminal Report, so they're easy to reconcile.
Transferring tables

If a customer moves to a new table, complete the transfer in Now Book It — not in WaiterMate.

  1. In the Now Book It diary, drag the reservation onto the new table.
  2. Select Move to confirm the update.

This automatically updates WaiterMate and completes the table transfer, including printing a transfer docket for any items already ordered (if this is enabled at your venue).

Auto join tables

If a booking needs multiple tables joined together, allocate all the required tables to the reservation in Now Book It.

Once the reservation is marked arrived, all allocated tables join automatically in WaiterMate, no extra steps needed.
