Bookings Settings

Your Bookings settings control how bookings behave and display in your Diary, from overdue warnings to recurring bookings and staff notifications. This guide covers what each setting does, so you can set them up the way your venue works.

Go to Venue Settings > Bookings > Bookings

Staff name field

Adds a staff name field to the booking form, so you can record which staff member took or edited a booking.

  • Show when creating a booking - displays the field when a new booking is made.
  • Show when editing a booking  - displays the field when an existing booking is edited.

Turn these on if you want to track who's handling each booking.

Highlight overdue bookings

Flags a booking on the Diary once a guest hasn't arrived within a set time of their booking time, handy for keeping front-of-house on top of no-shows and late arrivals.

  • Enabled — turns the overdue highlight on or off.
  • Overdue after (mins) — how many minutes past the booking time before it's flagged as overdue.

Warn me about upcoming bookings on occupied tables

Warns you when a table still has guests seated but another booking is coming up soon for that same table — so you can catch turnaround clashes before they become a problem on the floor.

  • Enabled - turns the warning on or off.
  • Conflicts within (mins) - how close the upcoming booking needs to be, in minutes, before you're warned.

Highlight timeline intervals where maximum new covers is reached

If your venue has a cap on new covers for a given time slot, this highlights those intervals on the Diary timeline once the cap is hit, so you can see at a glance when a service window is full.

Enable Max Occupancy

Turns on maximum occupancy limits for your venue, letting you cap the number of covers allowed at once. Switch this on if you want the Diary to enforce occupancy limits, rather than just track table availability.

Enable Recurring Bookings

Allows bookings to be set up on a repeating basis, for example, a guest who books the same table every Friday, rather than creating each one individually.

Auto-Confirm bookings

Automatically confirms same-day bookings, for both online and Diary bookings, without needing manual confirmation. Useful if you don't want same-day bookings sitting in a pending state.

  • Auto-Confirm Bookings - turns this on or off.

Booking name display

Controls how a guest's name appears on the Diary when a company name is attached to the booking.

  • Display company name first - when off, names show as Firstname Lastname, Company. Switch this on to lead with the company name instead.

Maximum booking size for restricted users

Sets a cap on how many covers a restricted user (a staff member with limited permissions) can book in a single reservation. Leave it empty for no limit.

Diary Refresh

  • Diary Refresh at Midnight - automatically refreshes the Diary view at midnight, so it's showing the correct day without needing a manual reload.

Make end times visible on bookings

Displays each booking's estimated end time on the Diary, alongside the start time, so staff can see table turnaround at a glance.

Enable Sticky Service

Turns on Sticky Service, which keeps a booking associated with a particular service period even if its time is adjusted. Useful for venues that manage bookings by service (lunch, dinner) rather than by exact time.

New Booking Notifications

  • Show notifications for new bookings - alerts staff when a new booking comes in.
  • Show notifications for new standby list bookings - alerts staff when a new standby (waitlist) booking comes in.

Turn these off if you'd rather not be interrupted by real-time alerts.

Select Save at the bottom of the page after making changes as settings won't apply until saved.
