Booking Tags and Customer notes

You can tags, notes and document links to a booking when creating it, or at any point afterwards by editing it.

Add Tags

  1. On the booking panel in your diary, scroll to Tags
  2. Select tags by typing in the Search tag by name field or by selecting available tags from the dropdown menu.

Add notes

There are three types of notes you can add, each with a different purpose:

  • Booking notes - apply to that occasion only. Added by the customer when booking online, or by the venue directly.
  • Customer notes - saved permanently to the customer's profile.
  • Manager notes - also saved permanently, but only visible to managers.

To add notes as a venue:

  1. Select the Notes tab in the booking form.
  2. Enter your notes in the relevant field.
  3. Booking notes also appear when you hover over the booking in the Diary timeline, for a quick reference.

When a customer adds booking notes online:

  1. They can add notes at the Your Details step of the online booking process.
  2. Once the booking lands in the Diary, the notes are visible in the Notes tab, and by hovering over the notes icon.
  3. Venues can choose to receive an email notification whenever a booking comes in with notes — managed under Admin > Email Settings.

Important: notes added by the venue aren't shown to the customer in automatic emails or in the widget. Customer and manager notes always require the booking to be opened to view, they're never shown to the customer.

Add links to documents

The Links tab lets you attach documents relevant to a booking from external sources like Google Drive or Dropbox — for example, a set menu or a payment receipt for a large booking.

  1. In the booking form, select the Links tab.
  2. Enter a clear, meaningful name for the link.
  3. Find the document and copy its URL.
  4. Paste the URL into the Link URL field.
  5. Select the + icon to add further links.

Finding and using links:

  • Bookings with links show the number attached beneath the Links tab.
  • From the Diary: open the booking, select Links, then select the link to open the document.
  • From the Runsheet: make sure the Links column is visible via the columns dropdown, then select a link to open it. Links and their full URLs are also included when you download the runsheet.
