Add or Edit a Service

A service can be breakfast, lunch, dinner, high tea, or even quiz night, anything you offer at a set day and time each week. Services are created within your Schedule and control how bookings behave for that time slot.

To create a new service

  1. Go to Venue Settings > Diary > Schedule
  2. Select the day you'd like to add the service to, then switch the toggle to Open.
  3. Use the dropdown to choose how often you'd like to accept bookings within the service, for example, every 15 minutes. This can range from 5 minutes to 12 hours.

Where to create and edit your service details 

There are five tabs within each service. We recommend working through them in order and hit save as you go: Service, Times, Settings, Sections and layouts, and Payments and Booking Options

Service

  1.  Enter the name of your Service. This is visible to the public.
  2. Select a Service type from the dropdown. This is only visible to your venue, not to guests.
  3. Choose a Booking colour to represent this service. Bookings for this service will show in this colour on your Diary, making it easier to tell services apart at a glance.
  4. Add any information you'd like guests to see when they book under Description, such as a link to your menu.
  5.  Move the Times tab.

Times

  1. Under Service start time enter when this service starts.
  2. Enter the last time a guest can book into this service under Last booking time.
  3. Enter the Service end time. This should allow for your full booking duration after the last booking time. For example, if bookings run for 120 minutes and your last booking time is 8pm, your service end time should be 10pm.
  4. Move to the Settings tab.

Settings

  1. Add how long each booking is allowed for under Default booking duration (minutes). The default is 90 minutes, and this can be changed later in your Diary settings.
  2. You can Add custom duration if you want to set a different duration for certain booking sizes. For example, you may want to allow more time for larger bookings, as they take longer to seat, order, and pay.
  3. The minimum number of guests you'll accept for a booking goes in Default booking pax. This can be as low as one, or set higher if you prefer, such as two or four.
  4. Under Maximum new bookings per interval you can add how many bookings you'll accept at any one time slot. Leave this empty for no limit.
  5. Maximum new covers per interval you can how many guests (covers) you'll accept at any one time slot. Leave this empty for no limit.
  6. Turn on Enable custom pax per interval to set a specific number of guests allowed at each individual time slot. This overrides the Maximum New Covers per Interval setting above.
    1. Enter 0 for a time slot to make it unavailable - it will be removed from the booking widget.
    2. Leave a time slot empty to use the Maximum New Covers setting instead.
  7. If you'd like to take bookings for this service online, switch on Allow in online booking system 

You can restrict how many bookings you accept in a given time slot in three ways:

  • Bookings per interval — the number of individual bookings you'll take.
  • Covers per interval — the number of guests you'll accept in total.
  • Custom pax per interval — set different limits for different time slots.

If you're not ready to set these limits, leave the fields blank — you can always come back and add them later.

  1. Policy agreement - turn this on to show guests a pop-up with your terms and conditions, such as your refund policy, which they must accept before completing their booking.
  2. Add your policy wording or a link to your policy for guests to view.
  3. Select Next to move to the Sections and layouts tab.
4. Sections and layouts

This tab shows every section in your venue. Select which section, or sections, you'd like to use for this service. You must select at least one section to offer the service.

  • Section not used - choose this if a section isn't used for this service, but may be used for another service running at the same time.
  • Section closed - choose this if you don't want to accept any bookings in this section during this service.

Move to the Payments and Booking Options tab.

5. Payments and booking options

Here you can decide whether to take payment for this service, and attach any booking options.

  • No payment - leave this selected if you don't require payment at the time of booking.
  • Deposit - require a deposit for each booking. You can set the amount and choose whether it applies per person or per booking.
  • Full payment - take full payment upfront for each booking. You can set the amount and choose whether it applies per person or per booking.
  • Upsell booking options - add upsell items for guests to purchase when they book. Find out more about upsell booking options.
  • Discount code - create a code that takes a set dollar amount off the total booking cost. Guests enter the code in the Promotion Code field at checkout and select Apply Discount to redeem it.

  • You can also add a temporary booking option from this tab.

Once you've completed all the mandatory fields, select Save in the bottom left corner.
